Some Workspace forms contain subforms that must be filled out separately from the parent form. Workspace Participants can access a package’s subforms by clicking the Go to Subforms link in the Form Name column on the Forms tab of the Manage Workspace page. If the parent form is a read-only form, the parent form's status will change to Passed when all of the subforms are in the Passed status.
Users may use the Subform Actions column and the buttons in the table title to manage their subforms. The View Subform Participants button will open a new modal that displays users with participant access to the subforms.
The Workspace Subforms pop-up window will reveal a table listing the name of the form with the following columns:
Subform Name: This column lists the name of each subform
Subform Status: This column states the status of the subform, including whether the form is locked or unlocked
Last Updated Date/Time: This column lists the most recent date the subform was updated, if applicable
Locked By: This column lists the name of the Participant who locked the subform, if applicable
Subform Actions: Contains links to these actions: Lock, Download, Upload, Webform, Rename, and Delete. These actions are not always activated; refer to each help article for an explanation of how and when to complete each action.
How to Manage Subforms
From the Manage Workspace page, under the Forms tab, click the Go to Subforms link under the Form Name column.
On the Workspace Subforms pop-up window, you will be able to take a range of actions:
Clicking the Reorder Subforms button will allow you to rearrange the order of the existing subforms. For more, see the Reorder Subforms help article.
Clicking the Add Subform Row button will allow you to add additional subforms.
Clicking the Lock link of a subform under the Subform Actions column will lock the form and keep other Participants from downloading and filling it out.
Clicking the Download link of a subform under the Subform Actions column will allow you to download the form in order to complete its required fields.
Clicking the Upload link of a subform under the Subform Actions column will allow you to upload a completed subform.
Clicking the Webform link of a subform under the Subform Actions column will allow you to edit a form in your browser window.
Clicking the Rename link of a subform under the Subform Actions column will allow you to change the name of the selected subform.
Clicking the Delete link of a subform under the Subform Actions column will allow you to delete the selected subform.
Note: If the name of the new subform is the same as an existing subform, you will be prompted to give the new subform a unique name.
